To get the ball rolling, request the job you have in mind, along with all the relevant details, content, and materials. Here are some items you should supply with your request:
- All copy or detailed copy points
- All photos or graphics
- Insertion orders for ads
- Budget guidelines
- Quantity of materials desired
- A requested deadline
- Past related job numbers
- Pertinent URLs for information or examples
- Contact Information to be displayed
- Preapproval from your department head
Before submitting your marketing project request, it will be helpful to review the following overview thoroughly for important guidelines. Keep in mind that job requests are completed at the discretion of the Marketing department and are not guaranteed.
Marketing Services & Timelines
Below you’ll find service descriptions and minimum project lead times. Please refer to this to determine an appropriate due date for your job. Shorter timelines must be approved by Marketing Production Manager Deanna Reis.
Our team assists with copywriting and provides copyediting for all marketing materials. When requesting a job, please provide completed copy, or at least copy points. If significant copywriting assistance is required, the client should budget to hire a recommended freelance copywriter.
Copy: At least 5 business days
Once copy is approved, we move into the design and layout phase of your project. Based on the information, strategy, and budget defined, we’ll design the piece to meet these objectives, maintaining consistency with the Regent brand. Once the layout is approved internally, it is forwarded to you for approval, with up to three rounds of changes allowed. Once final approvals are received, the project will move to production.
Artwork for Specialty Items: At least 10 business days
Displays: At least 25 business days
Combining brand consistency with aesthetic usability, University Marketing creates web materials for your school or department. Our services include HTML emails, landing pages, microsites, animations, banners, web ads and website design/redesign. We specifically concentrate on the front-end phase of web production by strategizing and executing the visual “look and feel.” We also create web templates that are passed to the appropriate web representative of your school or department for content population.
HTML Email: 7-10 business days
Landing Page: 10-15 business days
Microsite: 4-6 weeks
Web Banner: 7-10 business days
Website Design: 12-week minimum
Website Redesign: 8-week minimum
Marketing or IT: Who can make my website change?
Regent’s Information Technology and Marketing departments team up to cover website management. IT can fulfill minor content update requests, and Marketing takes care of more involved projects. Here’s some guidance on how to determine the difference:
Do you have a website request that includes changes to images, layout, concepts, or messaging?
Do you have a website request with minimal text updates, such as a date change or paragraph revision?
Once the layout and size of a piece is approved, University Marketing sends out the print specifications to a number of vendors. Based on the best price and delivery, we will send you an estimate for approval. We often price a number of quantity options so you can choose the best cost and quantity for your project. The cost/quantity approval needs to be sent back to production from a person with signature authority, along with delivery information and the account code for charging.
Once we receive this approval, we send the project to the vendor, and a purchase order is provided by the purchasing department. Final press proofs are approved by the production manager prior to printing, and the job is often approved at press. The production manager will advise you when to expect project delivery based on the size of the piece and the quantity ordered.

Regent University Marketing photo and video services are focused on creating promotional content for Regent University’s brand. Event photography and videography is not guaranteed. When Marketing is unable to provide coverage, we may recommend outsourcing, which could incur additional fees.
Photography: At least 15 business days
Video (under 1 minute): At least 45 business days
Video (over 1 minute): At least 75 days
We offer advertising and purchasing services for digital, print, and broadcast media, with follow-through to ensure that the materials are sent for each media placement. However, you are responsible for opening jobs for each ad insertion and for providing an adequate timeline and project details.
Ads/Media: At least 30 business days

The amount of time it takes to produce a job depends on the type of job. Please refer to the specific timelines provided above.
Regent’s Marketing team provides promotional video and audio productions for university departments on a case-by-case basis. For all livestream and event-recording needs, please contact Regent Media Services.
